Personnel Records, 1914 - 1938

Records in this series appear to have been created by the Personnel Division or were perhaps taken from the Accountant's Department.  Format of records is similar - a one or two page summary of an employee's career. More personal information is added with each new subseries. The subseries are:

Title: Fur Trade Servant's Records

    Ref: RG3 / 40A / 1 - 2
    Dates: c. 1924

    Content: Earlier records may be located in series D.38/57. All records are arranged in alphabetical order. Two categories exist for these records. Series RG3/40A/1 covers current employees for 1924. Series RG3/40/2 covers employees who had retired, resigned, been dismissed, or died.  May include date and place of birth, marital status, dates and locations of employment, capacity, wages, etc.

Title: Memorandum of Service Records

    Dates: 1930's
    Content: Alphabetical arrangement. Summaries of employee service with the Company. Documents employees who had been dismissed, retired from service or died. Sources date from the 1930's and appear to have been copied from earlier documents. May include name, date of birth, place of birth, date of appointment, marital status, number of family members, capacity, where stationed, dates of service, wages etc.

Title: Staff Records of Service (Forms F.T. 69)

    Content: Alphabetical by surname. There are two categories of records: RG3/40C/1: Employees actively in service, c. 1936, employees who's surname begins with A-Y and RG3/40C/2: employees who had been dismissed, died or retired c. 1936; employees whose surname begins with M-Z. (A-L volume missing). May include name, date and place of birth, date of appointment, marital status, previous employment, references, age at entering service, reason for leaving service, dates of service, post/district, position, remuneration, outfit, general suitability.

Title: Staff Records of Service (Forms F.T. 77)

    Content: Similar to Staff Records of Service (RG3/40C/1-2), although information is more detailed and includes education, nationality of spouse and personal ability. There are two categories of records: RG3/40D/1: Employees A-Y, dismissed, died or retired, before 1938 and RG3/40D/2: Employees A-W, dismissed, died or retired, after 1938.

Title: Personnel Dossiers - General

    Content: Information on Departmental employees. May include applications, letters of reference, assessment interviews, contracts, medical and dental records, MMPI (Minnesota Multiphasic Personality Inventory) tests, ratings, termination interviews, correspondence with District Managers, etc. Also includes a History Sheet which gives name of spouse and names and birth dates of children.

Title: Personnel Dossiers - War Casualties

    Content: May include letters from employees while they were with the forces and newspaper accounts of their deaths. Also included in this series is a Record of Enlisted Staff which provides information about each enlisted employee's military service, number and age of children and if married since enlisting. Miscellaneous Personnel Records, 1924 - 1970

Include Staff Ledgers, Pension Records, Records of Commissioned Officers and Personnel Division records. Dates of materials range from 1924 - 1959 and vary for each category. Records are subdivided into the following categories:

Title: Records of Commissioned Officers

    Content: In 1927 the Company decided to revive the practice of granting commissions to certain employees of the Fur Trade Department. These honorary appointments were awarded to four ranks: Trader, Chief Trader, Factor and Chief Factor.  Records include the following categories: RG3/43/1: Register of Commissioned Officers, 1927-1940; RG3/43/2: Indentures, 1929-1936; RG3/43/3: Correspondence and Memoranda, 1927-1934.

District Personnel Records

There is an abundance of information in the District Personnel Records. These are readily accessed once the place of employment is known. Northern Canada was divided into districts to facilitate the administration of the Hudson's Bay Company Fur Trade Department. District names were linked to geographical location so they could be easily identified with the help of a map. Associated with each District was the number of the Outfit. The Outfit was the fiscal year of the fur trade. In celebration of its 250th anniversary in 1920, the HBC began to number outfits from its founding in 1670. These records are classified by district.
